Party bookings
Party bookings covers all types of parties including but not limited to children’s birthday party bookings.
All bookings are subject to availability. Your choice of date may not be available, but alternative dates will always be offered.
Where payment is required online this must be made at the time of booking. Any delay in this payment (i.e. long time gap between starting your booking and making the payment through PayPal) may result in your space(s) being released to others. Therefore delayed payments DO NOT guarantee a booking of space(s). In such cases where a delayed payment is received after the space(s) have been released to others and there are no longer any spaces available, a full refund will be made.
Full payment is required at the time of booking and must be made to Sam Harrison (and received by Sam Harrison) at least 7 days prior to the Party which is non-refundable. Failure to make full payment at least 7 days prior to the Party will result in the date (and time) being released, unless agreed otherwise by Sam Harrison in writing.
Party attendees are considered to include any person over the age of 18 months (including siblings and other children).
Should you wish to increase numbers of attendees after you have made your booking this must be requested in writing to Sam Harrison at least 7 days prior to the party and full payment for all increased attendees must be made to Sam Harrison (and received by Sam Harrison) at least 7 days prior to the Party which is non-refundable.
Additional party attendees on the day of the party are not permitted.
At least one responsible adult (usually a parent, guardian or other relative of the birthday child) must remain with the group at all times and they take overall responsibility for the welfare and well being of the group in loco parentis, including responsibility for any individual child’s medication in terms of safe storage and administration. This adult is responsible for gaining prior consent from parents / guardians of children attending the party, including making them fully aware of the environment and types of Activities and they are responsible during the party for maintaining fast and easy access to emergency contact details for the children’s parents / guardians i.e. telephone contact numbers. Please note that as well as taking responsibility for the children’s welfare and well being, this adult is responsible for managing the children’s behaviour during the party. This includes taking responsibility for any liabilities that may result from unacceptable behaviour by children in their care (loco parentis) such as liability for any resulting damage or injury.
Parents and carers of young children or children with Special Educational Needs and Disabilities (SEND) may attend based on one adult per child. Additional parents / carers attending are permitted at the discretion of Sam Harrison which may include an additional fee. Any additional payments on the day of the party must be in cash.
Party attendees, parents / carers and any other person onsite during the session are required to adhere to all Terms and Conditions. This includes reading and understanding our Participation Disclaimer (on this website and shown on site). Any persons attending that do not adhere to our Terms and Conditions, rules and instructions (including safety rules and instructions) will be required to leave the site.
There is some flexibility regarding activities between the party options depending on the group and weather conditions and these will be determined on the day of the party by Sam Harrison.
Should you be unable to attend on the day and time, the full prepayment for the Party will be forfeited. Note: It is important that you notify us as soon as possible regarding attendance issues as we will endeavor to reschedule wherever practicable – an additional fee may be applicable.
Should any of your party not attend on the day and time, any fees related will be forfeited.
On some occasions Sam Harrison may decide to cancel events due to safety conditions such as high winds or heavy rain. If this occurs Sam Harrison will seek to reschedule the event or provide a full refund.
In the unlikely event that Sam Harrison is unable to source the main food that is included and paid for in the party pricing (such as bread rolls and sausages) then Sam Harrison at its full and sole discretion will provide alternative main food or provide a goodwill refund to the maximum value of £1.50 per paid attendee/child. This is intended to cover for unlikely and extreme eventualities such as food shortages in food retailers and supermarkets. This does not apply to any other food such as snacks, biscuits, marshmallows, tea cakes, crumpets, popcorn or similar where no refund is applicable. This does not in any way infer that food is an optional item for parties.
Please note we are unable to accept liability for any errors resulting from data which you have supplied incorrectly, whether by telephone, email or otherwise. In addition, we are unable to accept liability for any issues that result from omission of relevant data such as specific health / medical issues or specific food / dietary issues. Information we require includes the following:
For children’s parties – Parent’s / Guardian’s name, Child’s name, Address, Contact telephone number(s), Email address, Number of children, Ages of children, Specific food requirements (e.g. vegetarian), Relevant health / medical issues.
For grown-up parties – Name, Address, Contact telephone number(s), Email address, Number of grown-ups, Number of children (if applicable), Ages of children (if applicable), Specific food requirements (e.g. vegetarian), Relevant health / medical issues.
Sam Harrison is not a manufacturer of food and therefore is reliant on food ingredients stated by manufacturers on the respective packaging. Whilst Sam Harrison will seek guidance regarding suitable food based on data provided, Sam Harrison does not guarantee the ingredients.
Sam Harrison may charge an additional fee to cover additional costs associated with specific food requirements (i.e. food such as vegan, vegetarian, gluten free, dairy free etc) should numbers of attendees requiring specific food requirements be higher than 10% of the group.
Activities may take place in woodland, grass areas, muddy areas and the open countryside. These environments have hazards such as trees, branches, logs, sticks, twigs, uneven ground, rocks, stones and mud. It is the responsibility of each individual, both children and adults, to take reasonable care for their own safety and the safety of others in these environments. Activities may include running, walking, sitting, kneeling, climbing in these environments such as active team games, den / shelter building, tree climbing, camp fire lighting, cooking, using tools, feeding and caring for livestock (such as pigs, sheep, chickens, ducks). It is the responsibility of each individual, both children and adults, to take all reasonable care for their own safety and the safety of others during Activities.
In the unlikely event of an accident, or loss or damage to any individual’s personal effects, Sam Harrison will not be liable for any direct or indirect loss, arising from or in connection with the Activities or the site (except for death or personal injury caused by At Play In The Woods’s negligence) and you will waive any claims against At Play In The Woods in this respect.
All attendees, both children and adults agree to be bound by our instructions and safety rules. Any person that is unable to comply with our instructions or safety rules (both written and verbal) will be excluded from the session without refund.
Vouchers cannot be used in conjunction with any other discount or special offer.
These Terms and Conditions contain important information concerning participation by you and members of your party in the Activities provided by At Play In The Woods and, accordingly, you acknowledge and agree that you shall ensure that all members of your party are aware of and accept these Terms and Conditions.
